The protection of your personal data is of the utmost importance for TeacherOnline.

In this privacy statement we describe what measures are being taken to guarantee the protection of your personal data in accordance with Belgian privacy legislation and the European General Data Protection Regulation (GDPR).

We wish to inform you clearly about how we take care of your data within our organization.

TeacherOnline can always adjust its privacy statement. We will make an announcement of this change on our website. The last change occurred on January 14, 2020.

Article 1 - Personal data

1.1. Personal data that you provide to us

At teacheronline we distinguish the following categories of users:

  1. Visitor category without registration

    A large part of the information on the websites is available without having to provide personal data. We use cookies and local storage for all visitors to ensure that our website functions properly.

    We collect information from users without registration on the website in an interactive way that we use for product improvement and lead generation. The information collected is maintained on the basis of a cookie and allows the user to:

    • Check online for tutoring.
    • Ask a question.
    • Make a registration from a company or a school.

    We collect the following information when we look for tutoring:

    You can register for a newsletter for parents. We also request the following information. When registering for the newsletter we can contact you personally. This data is not linked to other uses of the website.

    For parents registered on TeacherOnline we store the following extra information (on top of the user category):

  7. User teacher category

    For teachers registered on app.teacheronline.be we store the following extra information (on top of the user category):

    • Address data
    • Phone number
    • Billing information (SEPA bank account number)
    • Enterprise number and company name, if applicable
    • Data required for participation in the sharing economy, if applicable
    • Courses offered
  8. Category student user

     

    Students use the parent's account, or family account, at app.teacheronline.be. We ask you to do this under the supervision of the parent. For students under the age of 16, communication is always done through the parent. We ask the parent to provide the following information about a child:  

     
    • First name
    • Last name
    • Gender
    • Date of birth
    • Specialization
    • School
    • Grade
    • Interested courses
    • Email address: if desired, the student is older than 16 or the parent gives permission
    • Telephone number: if desired, the student is older than 16 or the parent gives permission
    • TeacherOnline processes data while following online tutoring: date of tutoring, subject of tutoring, tools (documents, photo study material), chat conversation, video conversation, report of tutoring, evaluation of tutoring.
  9. Banned user category

    To identify malicious users after stopping their account on TeacherOnline (where all data is deleted), TeacherOnline maintains a list of email addresses of suspended or banned users. This e-mail address is encrypted by a non-reversible algorithm, as a result of which we cannot find out the e-mail addresses ourselves, but we can test whether an e-mail address is already on the list of banned users when registering and to deny this access on the platform.

  10. Category 'money back requested' user

    The following information is kept of users who have asked for their money back:

1.1.1 Social media

TeacherOnline has company pages on LinkedIn, Facebook, Instagram and Twitter to inform you about our services, current topics, events and the like. You are free to follow or not to follow TeacherOnline via this social media.

1.2 Collected data

We only collect personal data that you provide to us. We do not collect personal data via third parties.

We use open data (such as school data) to simplify working with our platform.

1.3 Cookies

The Website also uses cookies that collect a number of personal data. For the provisions regarding the use of cookies, see article 8.

Article 2 - Purposes of processing

2.1. General purposes

TeacherOnline will only use the personal data collected with you for the following purposes.

  1. Visitor category without registration

    Taking care of and improving our website and producing statistics, with the legitimate interest of TeacherOnline to continuously improve its websites and services.

    Contact us to answer questions, with as legal basis the importance of correctly informing our users.

    Registering schools or companies, with the question of sending information as legal basis.

  2. Category newsletter parent

    Sending direct marketing, newsletters, invitations, promotions and promotions, with your explicit prior consent as legal basis.

  3. Teacher newsletter category

    Sending direct marketing, newsletters, invitations, promotions and promotions, with your explicit prior consent as legal basis.

  4. Category newsletter schools

  5. User category

  8. Category student user

    Offering our services on the basis of the information entered by the parent and agreed services on the basis of the conditions of use and the code of conduct. In order to have the service of the teacher run to the student, in the case of an online tutoring session, we pass on personal data to a teacher with the legal basis of providing a service requested by the parent.   9. Category banned user

    Refusing access to users who were previously suspended for violating the TeacherOnline code of conduct or regulations.

  10. Category "money back requested" user

    Users who have asked for their money back are kept up to date to recognize them, with the legal basis for combating fraud.

You are not required to disclose your personal data, but you understand that the provision of certain services becomes impossible if you refuse the processing.

2.3 Use of TeacherOnline by children under the age of 16

TeacherOnline works via a family account.

The use of TeacherOnline by children under the age of 16 must always be done under the supervision of a parent.

When creating an account and making payment, it is checked whether the parent is of age.

The parent may only add his own children or the children he / she has custody of to the family account.

The email communication within the family account for children under the age of 16 always takes place via the e-mail address of the parent. TeacherOnline does not keep e-mail addresses of students under the age of 16 without consent of the parants.

2.4. Direct marketing and sponsorship

The personal data of category newsletter parent and category newsletter learning yachts can also be used for direct marketing, provided that you have given additional explicit permission for this (“opt-in”).

You can withdraw this permission at any time, without justification and free of charge, for example by clicking on the unsubscribe link provided at the bottom of each promotional e-mail message, or sending an e-mail with a request for this to avg@teacheronline.be.

In regular communication to the user category, user parent category, user teacher category and student user category, concerning the general purposes described above, mention can also be made of our sponsors. No opt-out is possible for this. Only canceling your user from our services can stop mentioning sponsors and also stop this regular communication.

2.5. Provision of personal data to third parties - processors

TeacherOnline will not sell, rent, exchange, distribute or otherwise make your personal information commercially available to third parties. We may provide the information you provide to us to third parties if this is necessary for the purposes described above.

For example, we use a third party (external service provider) to:

  • Save and process data in the Cloud (via a Cloud Service Provider)
  • Taking care of the internet environment (web hosting, e-mail hosting ...)
  • Providing IT infrastructure (including server ...)
  • Provide video chat
  • Providing push notification services
  • Taking care of the (financial) administration
  • Provide analysis of text and image material to detect suggestive or explicit material that violates our code of conduct (such as analysis for explicit nude and sexual activity - both prohibited)
  • Taking care of financial transactions via credit card
  • Take care of SEPA direct debit
  • Taking care of (and distributing) newsletters and invitations (Mailchimp, ConvertKit)
  • Study the efficiency of the online tutoring offered on the website
  • Conduct surveys (Survey Sparrow)
  • We naturally make the necessary agreements with external service providers (processors) to guarantee the security of your personal data.

    2.6. Legal Requirements

    In rare cases, TeacherOnline may have to disclose your personal information pursuant to a court order or to comply with other mandatory laws or regulations. TeacherOnline will use reasonable endeavors to inform you about this in advance, unless this is subject to legal restrictions.

    Article 3 - Duration of processing

    3.1 General processing

    The personal data is stored and processed by us for a period that is necessary in function of the purposes of the processing and in function of the contractual relationship between the TeacherOnline and you. For example, we do not store your data for more than 5 years after the last use (only user category ) or when the collaboration ends (user category parent, user teacher category or student user category), except for data related to accounting (7 years) and the banned user category.

    3.1 Processing when stopping

    When services are stopped, the data, with the exception of the data that we must legally store, is permanently deleted and cannot be restored.

    When purchasing a service again after the termination, it is not possible to link the legally stored data (such as invoices) back to the new account.

    3.1 Processing while pausing

    When pausing services, the data is retained for a period of 5 years. TeacherOnline will regularly inform the owner of the account about this.

    3.2 Backup and replication of data

    After 1 month, changed and deleted data also automatically disappears from our backup systems.

    Article 4 - Your rights

    You have the right to view and copy the personal data that pertains to you.

    You are entitled to improvement and addition if your information is incorrect or incomplete. You can correct or supplement almost all data yourself on TeacherOnline.

    You have the right to change data (deletion) of the personal data that we have received from you and that are no longer strictly necessary for the purposes for which they were processed. We reserve the right to determine whether your request is justified.

    You have the right to limit data processing: if you object to the processing of certain data, you can request that this processing be stopped.

    You can also object to or object to the way in which certain of your personal data are processed. This way you have the right to object to the use of your personal data for direct marketing purposes (via unsubscribe options in e-mails). You also have the right to have the data provided by you transferred by us to yourself or by order of yourself directly to another party.

    Via the address at the top of this privacy statement you can contact us to exercise your rights, accompanied by a motivation for your question.

    We may ask you to identify yourself before we can respond to the aforementioned requests. To verify your identity, we ask that you attach a copy of the front of your identity card to your application. We strongly recommend that you make your passport photo invisible and state that it is a copy.

    Finally, no category of people is subjected to any form of automated decision-making or profiling.

    Article 5 - Security and confidentiality

    5.1. We have developed security measures that are adapted on a technical and organizational level to prevent the destruction, loss, falsification, alteration, unauthorized access or accidental notification to third parties of personal data collected as well as any other unauthorized processing of this information.

    TeacherOnline uses secure web technology, encryption and authentication to make its IT systems as secure as possible.

    TeacherOnline does not store passwords for its users. Passwords are encrypted with a Bcrypt algorithm and cannot be traced.

    5.2. Under no circumstances can TeacherOnline be held liable for any direct or indirect damage resulting from incorrect or unlawful use of the personal data by a third party.

    5.3. You must comply with the security rules at all times, among other things by preventing any unauthorized access to your login and code. You are therefore solely responsible for the use that is made from the website of your computer, IP address and your identification data, as well as for their confidentiality.

    5.4. You must also adhere to the code of conduct.

    Article 6 - Access by third parties

    6.1. In order to be able to process your personal data, we provide access to your personal data to our employees, volunteers, participants in the sharing economy or service providers.

    6.2. We guarantee a similar level of protection by making contractual obligations enforceable against these employees, volunteers or service providers and employees who are similar to this Privacy Statement.

    Advertising

    Teacheronline does not allow advertising within the screens of the TeacherOnline application (TeacherOnline) that students have access to.

    Sponsorship

    TeacherOnline appeals to sponsors. The communication to the parents may contain logos and brand names of the sponsors.
